GABE HRIS includes artificial intelligence capabilities designed to assist organizations in managing HR processes, improving compliance awareness, and increasing operational efficiency. This policy describes how AI features within the GABE HRIS platform are designed to operate, the safeguards in place, and the responsibilities of customers when using AI-assisted functionality.

Important: AI functionality within GABE HRIS is intended to provide assistance and recommendations only. AI features do not make employment decisions and should not be used as the sole basis for HR, legal, or employment actions. Human review is required for all AI-assisted outputs.

1. Purpose of AI Within GABE HRIS

AI capabilities in GABE HRIS are designed to assist HR professionals with administrative and compliance-related tasks. These tools are intended to augment human decision-making rather than replace it.

Examples of AI-Assisted Features

  • Generation of job descriptions and role profiles
  • Creation or improvement of HR policies and documentation
  • Assistance with competency frameworks and performance criteria
  • Compensation benchmarking insights
  • Identification of potential compliance risks or policy gaps
  • Suggested updates to employee handbook policies based on regulatory changes
  • Administrative automation suggestions

These features are designed to assist HR teams by providing structured recommendations that can then be reviewed, modified, or approved by authorized users.

2. Human Oversight

GABE HRIS AI systems are designed to support human decision-makers. AI-generated outputs must always be reviewed and approved by authorized personnel before implementation.

  • AI does not autonomously modify employment policies.
  • AI does not make hiring, termination, promotion, or disciplinary decisions.
  • AI does not independently change compensation structures.
  • AI does not perform automated employment screening or candidate ranking without human oversight.

Organizations remain fully responsible for employment decisions made using the platform.

3. Data Usage and Privacy

AI features within GABE HRIS operate using data provided by the customer within the platform and trusted public regulatory sources where applicable.

Customer Data

Customer data processed within the platform remains under the control of the customer organization in accordance with the Data Processing Agreement and Privacy Policy.

External Sources

Where regulatory guidance is incorporated into AI-assisted recommendations, the platform is designed to reference authoritative sources such as government regulatory agencies.

GABE HRIS does not use customer data to train generalized public AI models without explicit authorization.

4. AI Limitations

Artificial intelligence systems can produce inaccurate, incomplete, or outdated information. AI-generated outputs should be treated as advisory recommendations rather than authoritative guidance.

  • AI suggestions may require modification for local legal requirements.
  • AI-generated documents may require legal review.
  • AI recommendations may not reflect organization-specific policies.

Customers are responsible for verifying AI-generated outputs before implementation.

5. Bias and Fairness

GABE HRIS is designed to support fair and responsible HR practices. AI functionality should not be used in ways that result in unlawful discrimination or biased employment decisions.

  • Customers must ensure AI outputs are reviewed for fairness and compliance.
  • AI tools should not be used to automate discriminatory employment practices.
  • Organizations remain responsible for compliance with employment and anti-discrimination laws.

6. Compliance and Regulatory Alignment

The AI capabilities within GABE HRIS are designed to assist organizations in supporting compliance efforts, but the platform does not guarantee regulatory compliance.

Organizations remain responsible for ensuring that HR practices comply with applicable labor laws, data protection laws, and regulatory requirements.

7. Prohibited Uses of AI

Customers may not use AI functionality within GABE HRIS for activities that violate applicable law, employment regulations, or the platform's Acceptable Use Policy.

Examples of prohibited uses include:

  • Using AI to create discriminatory employment criteria
  • Automating termination or disciplinary actions without review
  • Using AI-generated content to misrepresent legal obligations
  • Using the platform to generate harmful, abusive, or illegal content

8. Continuous Improvement

We may improve AI capabilities within GABE HRIS over time to enhance accuracy, security, and usefulness. Changes may include improvements to algorithms, data sources, or safeguards.

When material changes are made to AI capabilities that affect how data is processed, this policy may be updated accordingly.
